Privacy policy
How Collabook handles your information, in plain English.
The short version
- Your Collabook log is private. Only you can see the collabs you add.
- We never sell your information and we don't use it for advertising.
- We store links to your footage, never the footage itself.
- You can ask us to export or delete your data at any time.
What we collect
- Account details: your email address and password. Passwords are stored in scrambled (hashed) form by our login provider, so we can't read them.
- What you put in your log: the collabs you record, including names and social handles of the people you worked with, dates, locations, platforms, footage links, posting and release-form status, and notes.
- Waitlist sign-ups: your email address and, if you choose to tell us, what kind of content you create.
- Payments: if you subscribe, payment is handled by Paddle (see below). We receive confirmation of your plan and billing status, but never your full card details.
- Technical information: our hosting and login providers keep standard logs (such as IP address, browser type and time of access) to keep the service running and secure.
Information about other people
Your log will usually include details about the people you collaborate with. Please only record what you need to keep track of your own work, and don't add sensitive information about them. Collabook never contacts the people in your log, and they can't see that you've logged them.
How we use it, and why we're allowed to
| What we do | Legal basis |
|---|---|
| Run your account and store your log | To provide the service you signed up for (contract) |
| Send account emails, like confirming your address or resetting your password | Contract |
| Email waitlist members when Collabook opens | Your consent, which you can withdraw at any time |
| Process subscriptions and keep financial records | Contract and legal obligation |
| Keep the service secure and fix problems | Our legitimate interest in running a safe, reliable service |
Who we share it with
We use a small number of trusted providers to run Collabook. They only process your information on our instructions, or, in Paddle's case, as described below.
| Provider | What they do | Where |
|---|---|---|
| Supabase | Database and account logins | EU (France) |
| Netlify | Website hosting and waitlist form | USA and global network |
| Resend | Sending account emails | EU (Ireland), company based in the USA |
| Paddle | Payments, as our reseller and merchant of record | UK and global |
Paddle sells Collabook subscriptions on our behalf, so for payments Paddle is responsible for your payment information under its own privacy policy.
Where information goes outside the UK, we rely on UK adequacy decisions or approved safeguards such as the UK International Data Transfer Agreement or Addendum.
We'll only share information otherwise if the law requires it.
How long we keep it
- Your account and log: for as long as your account is open. If you delete your account, we delete your log within 30 days, apart from short-lived backups that expire on their own.
- Waitlist: until Collabook opens to you or you ask to be removed.
- Financial records: for six years, as UK law requires.
Cookies and storage
Collabook stores a small piece of information in your browser to keep you logged in. It's essential for the app to work. We don't use advertising or tracking cookies.
Your rights
Under UK data protection law you can ask us to:
- give you a copy of your information
- correct anything that's wrong
- delete your information
- limit or object to how we use it
- send your information to you or another service in a usable format
Email hello@collabook.net and we'll reply within one month. If you're unhappy with how we've handled your information, you can complain to the Information Commissioner's Office at ico.org.uk.
Keeping it safe
Your log is protected by rules in our database that stop anyone but you from reading it, and all connections are encrypted. No system is perfect, but we'll tell you promptly if something goes wrong that affects your information.
Age
Collabook is for people aged 18 and over.
Changes to this policy
If we make important changes, we'll update the date at the top and let account holders know by email.
